Payment Terms and Cancellation Policy

This Payment Terms and Cancellation Policy (“Payment Policy”) governs payment processing, fees, cancellations, refunds, and financial transactions that may occur through the HUB Healthcare platform (the “Platform”).
This Policy forms part of and is incorporated into the HUB Platform Terms of Service. If there is a conflict between this Policy and the Terms of Service, the Terms of Service control unless this Policy specifically states otherwise.
1. Payment Processing
Payments made through the Platform may be processed through third‑party payment processors. HUB currently anticipates using processors such as Stripe or similar financial service providers.
By using payment features of the Platform, you agree that:
payment processors may collect, process, and store payment information;
you may be required to agree to the processor’s terms of service and privacy policy;
HUB does not store full payment card numbers or banking credentials when third‑party processors handle payment transactions; and
financial transactions are subject to the policies and operational rules of the payment processor.
HUB may change payment processors at any time.
2. Platform Fees
HUB may charge various fees for use of the Platform, which may include:
service fees
marketplace facilitation fees
subscription fees
processing fees
cancellation or no‑show fees
premium feature fees
enterprise or organizational service fees
All fees will be disclosed on the Platform or through applicable agreements before being charged.
HUB reserves the right to modify fee structures, provided changes are communicated through the Platform or through updated policies.
3. Pricing for Services
Caregivers, service providers, or organizations using the Platform may set their own service pricing where permitted by the Platform.
Unless otherwise specified:
HUB does not set service prices
HUB does not negotiate service rates
HUB does not control compensation arrangements between users
Users are responsible for understanding and agreeing to any rates or pricing before confirming a booking or service request.
4. Authorization and Payment Collection
When a user confirms a service request or booking through the Platform, the user may be required to authorize payment.
Authorization may include:
pre‑authorization holds
advance charges
deposits
milestone payments
final payment following service completion
Payment timing may vary depending on the workflow, service type, or marketplace configuration.
5. Caregiver or Provider Payouts
Where the Platform facilitates payments to caregivers or service providers:
payouts may be issued through third‑party processors;
payout timing may vary depending on processor schedules, fraud checks, or compliance reviews;
HUB may delay or withhold payouts where necessary for dispute resolution, fraud prevention, or policy enforcement.
Caregivers and providers are responsible for:
accurate payout information
tax reporting
compliance with applicable laws.
6. Taxes
Users are responsible for determining and fulfilling their own tax obligations related to payments received or made through the Platform.
HUB does not provide tax advice and does not guarantee tax treatment of any payments.
Where required by law, HUB or its payment processor may collect tax information, issue tax forms, or report financial activity.
7. Cancellations
The Platform may permit users to cancel scheduled services.
Cancellation rules may vary depending on the workflow, but generally:
cancellations made sufficiently in advance may not incur fees;
late cancellations may result in partial charges; and
repeated cancellations may result in account restrictions.
Specific cancellation windows may be defined within the booking workflow.
8. No‑Shows
If a user fails to appear for a scheduled service without cancelling in accordance with the Platform rules, the user may be charged a no‑show fee.
No‑show policies are intended to protect the time and availability of service providers.
HUB may determine the appropriate fee structure or delegate fee policies to marketplace participants depending on how the Platform is configured.
9. Rescheduling
Users may be permitted to reschedule services through the Platform when functionality allows.
Rescheduling may be subject to:
availability of the caregiver or provider
timing rules
cancellation windows
Rescheduling requests made outside permitted windows may be treated as cancellations.
10. Refunds
Refund eligibility may depend on factors including:
cancellation timing
service completion status
dispute outcomes
payment processor rules
Refunds may be issued through the original payment method when possible.
Payment processor policies may affect refund timing.
11. Disputes
If a dispute arises regarding a payment, users should first attempt to resolve the matter directly with the other party where appropriate.
HUB may, but is not obligated to:
review disputes
request documentation
temporarily hold funds
assist with dispute resolution
HUB does not guarantee dispute outcomes.
12. Chargebacks
Users agree not to initiate chargebacks without first attempting to resolve the issue through the Platform.
If a chargeback occurs:
HUB may suspend accounts;
HUB may recover amounts owed;
additional administrative fees may apply.
Chargebacks may also trigger payment processor investigations.
13. Fraud Prevention
To prevent fraud and protect users, HUB may:
delay payments
place transaction holds
require identity verification
request documentation
cancel suspicious transactions
These actions may occur without prior notice where necessary to protect the Platform.
14. Payment Errors
If a payment error occurs, users must notify HUB promptly.
HUB may correct errors including:
duplicate charges
incorrect disbursements
processor errors
Corrections may involve reversals or adjustments.
15. Changes to This Policy
HUB may modify this Payment Policy at any time.
Material changes may be communicated through the Platform, email notice, or updated policy postings.
Continued use of the Platform after updates constitutes acceptance of the revised Policy.
